Charter Bus Information

All charter bus trips are to be bid and scheduled through the Purchasing Department with approved charter bus companies.

CHARTER BUS PROCESS:  

  1. Complete the Charter Bus Requisition Form and turn it in to the School Principal for approval.  The Principal will forward the requisition to the Purchasing Department to process request. 
  2. Once the Purchasing Department receives the charter bus requisition form, a bid will be processed to the approved bus charter companies.
  3. Once the bid closes, the Purchasing Department will contact the School Principal with the bid pricing and bus availability information. 
  4. The School Principal will approve/disapprove the number of buses and prices. 
  5. The Purchasing Department will submit a PO to the charter bus company based on the approval of the School Principal.
  6. The Purchasing Department will send the school Principal the bus charter packets the week of the trip. The packet includes copies of: Principal Checklist, Pre-Trip Inspection Checklist, Seating Charts, Copy of Insurance Certificate, Purchase Order and Bus Charter Quote.
  7. Seating Charts & Pre-Trip Inspection Checklist: Immediately after departure of the bus, a copy of the Seating Chart needs to be sent to the Purchasing Department. A copy of the Pre-Trip Inspection Checklist must be sent to the Purchasing Department (if the school performed their own inspection).
